Terms & Conditions

Dragonfly Camping is the trading name that is the provider of this holiday. By making a holiday booking you accept the following Terms & Conditions:

Document date: 10th November 2021

Arrival & Departure Times

On arrival day, the camping pitches are available from 2pm. On departure day, please vacate camping pitches by 11am. This gives us time to carry out jobs such as tidying up the pitches, cleaning the communal areas and strimming. Please stick to these times to ensure your holiday is the best we can achieve for you.

Payments

We request a 30% non-refundable deposit when booking a camping pitch. Receipt of the deposit secures your booking. Pitches are held provisionally for up to seven days, after which, if we have not received your deposit, the dates will be released. The balance is required four weeks prior to your arrival date. If we do not receive your balance by this time, we will assume you have cancelled your holiday and release the dates - see below. For short lead-time bookings - ie. those booked less than four weeks before arrival, the full amount will be requested to secure the booking.

Cancellation by You

If you cancel your holiday four weeks or more before your arrival date, the cancellation will be subject to a 30% admin fee (equal to your non-refundable deposit). If you cancel your holiday 4 weeks or less before your arrival date we will not issue any refunds. Bookings are not transferable to another family without our prior agreement in email or writing. If you are concerned about the prospect of cancellation, please take out holiday insurance.

Cancellation by Us

Dragonfly Camping reserves the right to cancel a camping holiday at short notice if we are unable to provide a safe camping environment, due to extreme weather conditions, ill health, fire, flooding or any other extenuating circumstances beyond our control. Under such circumstances, your full payment will be returned to you. Dragonfly Camping cannot accept liability or responsibility for any loss, including consequential loss, caused by cancellation.

The Weather

Dragonfly Camping is well protected from prevailing wind and rain but can still be subjected to harsh weather conditions. Very strong winds and torrential rain can occur at any time of year. You must ensure that your tent is robust and pitched correctly. Please note, we do not provide a refund because the weather has not worked out, or is not to your liking. Extreme weather is covered in ‘Cancellations by Us’.

Cancellation in the event of Covid-19 Infection

What happens if you have to cancel your booking for any of the following reasons:

  • You or a member of your party have a positive Covid-19 test

  • You or a member of your party have to self-isolate due to contact with a Covid-19 sufferer

  • You or a member of your party develop Covid-19 symptoms and are awaiting test results

  • Your area is put into a localised lockdown - that means you will be breaking the law if you travel

If any of the above apply we will do our best to offer you alternative dates for your holiday. If that is not possible then the ‘Cancellation by You’ clause will apply.

Special Covid-19 Condition

If, as a result of Government restrictions on campsites we are forced to cancel your holiday, we make a heartfelt request that rather than a refund, we instead hold your deposit as a credit against a later stay, valid for up to 12 months from your original holiday dates. As a small business, we are wholly dependent on your custom for our survival. We realise these are difficult times for all, but your support will help us get through this and continue to make Dragonfly Camping a wonderful place to stay.

Children & Adults Safety

There are many opportunities for play and explore at Dragonfly Camping. Our aim is for children to have a truly enriching experience of space and freedom. But being a working farm there are contingent risks to be aware of. There are several trees especially suited to climbing but this does not mean they are all entirely safe. Some branches may be weak or dead and could break. We permit campfires so have a couple of saws for making firewood. These risks are small and should be self-evident - but if you are not clear, please ask! Dragonfly Camping accepts no responsibility for injury incurred on site. Parents are responsible for the supervision of their children on site at all times.

Cars & Campervans

The speed limit while at Dragonfly Camping is 5 mph. The total length of campervan or car with trailer must not exceed 6m. You may park on the hardstanding at your pitch for the duration of your stay. Please do not drive onto the grass or wood chip areas as you may get stuck after prolonged heavy rainfall.

Consideration for Others

This is a peaceful, quiet campsite for the enjoyment of nature. We do not allow amplified music that can be heard off anyone's pitch, and only quiet talking is permitted after 10pm. Noisy visitors who persistently disturb other guests will be asked politely to leave, without refund. If you are out for the night and arrive back after 11pm, please consider other campers and if necessary park in the pull in by the gate.

Recycling & Rubbish

All rubbish must be recycled. That means separating glass, tins, plastic, paper, cardboard, food waste etc. and placing them in the designated bins. What is left, ie. only items that are not recyclable, can be placed in the landfill bin.

Campfires & Firewood

Please only use the designated campfire places and do not enlarge or alter the position of the designated campfire places. Do not leave your campfire unattended and think carefully about whether or not to light a fire if it is windy. Use of the saw provided for sizing firewood is completely at your own risk. Dragonfly Camping will not be held liable for any accidents or injuries incurred resulting from their use.

Badgers and Foxes

Its quite likely that you’ll get a glimpse of both of these creatures. At night you'll probably hear them scurrying around for sure. However they are looking for an easy meal and may try to raid your food stocks and recycling. Putting your food in suitable, hard containers, your recycling and food scraps in the bins provided and making sure your tent is zipped up at bedtime will help eliminate this problem.

Property Loss

Dragonfly Woodland Camping cannot be held responsible for any lost or stolen property.

Smoking Policy

Both the communal area and undercover facilities are strictly NO SMOKING. If you smoke, do it outside and dispose of your cigarette ends in the campfire or bin please.

Dog Policy

Sorry, we don’t accommodate dogs, no matter how well behaved or lovely, sorry.

Accidental Damages

Should any significant damage or breakage occur, other than acceptable wear and tear, a charge for replacement may be made. We reserve the right to charge for excessive cleaning where a pitch has been left in an unacceptable condition, through waste, litter, interference with a structure, movement of furniture and contents etc. Guests will be held responsible for any fire, or general damage, or alteration to a structure caused by negligence.
